Transforming Volunteer-Run Safety Operations with a Centralised Digital System
Middle Park Football Club is a 100% volunteer-run community football club supporting over 550 active players across three sporting hubs in Melbourne. Managing health and safety across multiple locations presents unique challenges, particularly with a large volunteer base and strict compliance requirements.
To address this, the club implemented Safety Champion to centralise systems, streamline processes, and ensure a safer environment for players, volunteers, and the broader community.
Pre-Implementation Challenges
Prior to implementing Safety Champion Software, Middle Park FC relied on fragmented processes and manual systems to manage safety and compliance across sites.
Key issues included:
Incident reporting and hazard identification inconsistencies
Difficulty tracking volunteer training and compliance
Reliance on reactive, rather than proactive, safety management
Time-consuming administrative processes created stress for volunteers
These challenges resulted in time-consuming, inefficient safety management processes and an increased risk for the team of volunteers and players. These challenges made it difficult to maintain oversight and ensure consistent safety standards across the organisation.

Results
Middle Park FC implemented Safety Champion to create a centralised, digital framework for managing health and safety.
The platform enabled the club to:
Centralise incident reporting, providing a single source of truth for tracking and review
Streamline volunteer onboarding, ensuring all credentials (including WWCC) are submitted and maintained
Improve reporting efficiency, replacing informal communication with structured QR-code reporting
Strengthen safeguarding practices, elevating oversight of child safety and compliance
Implementation support from the Safety Champion team was critical, particularly for configuring the system to suit a volunteer-run environment with limited internal resources.
“Safety Champion has transformed our demanding volunteer-run administrative workload into an efficient, centralised risk-management system, making it incredibly easy to track vital child safety credentials, monitor volunteer compliance, manage incident reporting, and maintain fully stocked first aid kits across all our active pitches.”

Approach to Success
Middle Park FC is continuing to expand its use of Safety Champion to support future growth and evolving compliance requirements.
Planned initiatives include:
- Match-day inspections and pre-game safety checklists, enabling coaches and team managers to complete mobile-friendly safety checks
- Centralised risk register, tailored to community sport governance and operations
- Continuous improvement tracking, ensuring actions and hazards are logged, assigned, and completed
- Strategic safety planning, aligned with Football Australia’s Club Changer standards
As regulations evolve, Safety Champion will allow the club to quickly adapt by converting new requirements into structured tasks, ensuring ongoing compliance and visibility across all sites.
